Inspiration for optimal seating

Choosing the right seating arrangement depends on various factors, such as the type of event, the number of participants, and the purpose of the event. The seating arrangement should be chosen carefully to ensure that it suits the type of event, the size of the group, and the needs of the participants. A well-chosen seating arrangement can also help to make participants or guests feel comfortable and ensure that the event is a success.

Row seating

For conferences, presentations, and lectures, row seating (also known as theater or parliamentary seating) is generally suitable, where the chairs are arranged in rows and all participants have a good view of the stage or speaker—or if you want to accommodate a particularly large number of guests. If interactive elements are required, the seating can be arranged so that participants can also communicate with each other.

Classroom/seminar seating

Will notes be taken during your event, or will workstations be required? Then classroom seating is the right choice. The speaker has a good view of all participants and can communicate with them easily. Interaction between participants is also possible by turning around and dividing into groups. However, this seating arrangement is not ideal for group work and discussions, as participants often remain in their seats and it is more difficult to communicate with each other. The next seating option is better suited for this purpose:

U-shape

In a U-shape, participants sit in a semicircular arrangement around the presenter. This gives the presenter a good view of all participants and creates an open and communicative atmosphere. The U-shape is particularly suitable for discussions, interactions, and group work. It allows participants to see each other and communicate with one another. If tables are needed, they can be placed in the middle of the U-shape.

Meeting seating / O-shape / Block

If you want to hold a workshop, an event with group work, or simply a meeting, meeting seating (also known as block seating) is ideal.  Participants sit at tables arranged in blocks. This type of seating allows participants to see and communicate with each other, thus facilitating collaboration. If the presenter does not need to address the group directly, they can be positioned within the blocks. As an alternative, the tables can also be arranged in an O-shape.

Chair circle

Another, more informal variant is the chair circle. Here, participants sit in a circle and face each other. This seating arrangement is particularly suitable for discussions and group work. It promotes communication and interaction among participants and allows them to exchange ideas and opinions. The speaker can be positioned in the middle of the chair circle or be part of the circle.

Standing/cocktail seating

Standing or cocktail seating is ideal for receptions or parties, creating a relaxed atmosphere and giving guests freedom of movement. There are no fixed seats. Participants can move around freely and communicate with each other. This type of seating is particularly suitable for networking events and receptions. It encourages interaction and allows participants to get to know each other in an informal way. Bar tables or standing bars can also be set up to provide participants with a place to put their belongings.

Banquet/gala seating

Banquet seating is ideal for networking events, information events, and business celebrations. Rectangular tables are elegantly set and arranged individually or in long rows. This makes it easier for participants to converse and interact with each other in an elegant, rather formal atmosphere.

Gala seating is ideal for elegant gala events or similar occasions where a special atmosphere is to be created. Guests usually sit at round or oval tables decorated with tablecloths and stylish table decorations. The seating is arranged so that all guests have the best view of the stage or speaker. This seating arrangement creates an elegant and festive atmosphere and guarantees good entertainment. Gala seating can be supplemented with lounge seating, which involves setting up comfortable seating such as sofas and armchairs.
